Our Venue

 

The Club has a number of function areas available, which are fully air conditioned with controlled lighting, fully serviced bar, access and facilities for the disabled. There is ample parking with security lighting.

  • The Flanders Room is suitable for 15-65 guests
  • The Jondaryan Room is suitable for 15-65 guests
  • The combined room is suitable for 65-120 guests (Jondaryan & Flanders Combined together)

The Flanders Room & Flanders Bistro seats up to 300- Dinner Style.


Terms & Conditions

All function reservations are to be made in accordance with the following terms & conditions:

Tentative Bookings:Will be held for seven (7) days only. If there is another interested party for this date and time, clients will be contacted for a decision and a deposit must be paid. Tentative Bookings must be confirmed within seven (7) days otherwise the booking will automatically be cancelled and the date made available for re-hire. If contact cannot be made with party, the Club has the right to terminate the tentative booking.

Confirmation:  A $50 Deposit is required to confirm your booking and it is non-negotiable.  All details are to be finalised not less than 14 days prior to the event. (E.g.: Menu selection, Table Plans, Time Line etc…)

Cancellations:With the unforeseeable circumstances of a postponement or cancellation a full refund is available if the venue can be resold. Notification or cancellation MUST BE via written letter, fax or email. A full room hire refund will be given for cancellation, if received 60 days prior to the function date. A 50 % refund will be honoured for less than 60 days’ notice, providing the room is successfully rebooked for another function, however if cancellation is less than 30 days, NO REFUND will be given. Should your function be cancelled within five (5) days before the event, all food costs will be payable.

Change of Date:  We understand that in certain circumstances dates may need to be, upon confirmation, changed. In this instance any deposit will be rolled over to the new date, subject to room availability. This must also be in writing the change of date.

Damages:Please note that the organisers are financially responsible for any damages to the property or equipment during the function. The club will take all necessary care, but will NOT accept responsibility for damage or loss of any client’s property in the function room before, during or after a function. Any breakages, loss or damage of equipment of facilities will be charge to the client responsible for the function. The club does not take any responsibility for any damages to vehicles parked in the car parks.

Food & Beverage:The Oakey RSL does NOT permit patrons, guests or invitees to bring items of food or beverage on to the premises, with the exception of cakes for special occasions with prior notice and agreement from the Club. Under the licensing laws, we reserve the right to limit alcohol consumption to reasonable levels. NO abusive behaviour will be tolerated and the offending party will be removed from the premises. NO DRINKS are permitted on the Dance Floor.

Terms & Conditions continued

Final Numbers:The final numbers are to be confirmed no later than, seven (7) working days before the event. This will be the guaranteed number. It is your responsibility to notify us of final numbers. Charges will be based on the guaranteed number or the number attending, whichever is greater. Changes to your final numbers or menu requirements within (7) days will attract an extra fee.

Menu:Full Payment of account for catering is required 72 hours prior to the commencement of your function. Should you require special meals, please notify the Function Co-coordinator 3 days prior to your function. As there are now several types of meal requirements, these cannot be produced on demand unless specially ordered prior to the event.

Other:The club reserves the right to allocate the most suitable room for your function. Should the unintended happen, we retain the right to re-allocate a comparable room to that originally chosen. In such exceptional circumstances, every effort will be made to inform you. The club dress code standards must be adhered to at all times, including meetings and rehearsals – appropriate footwear must be worn at all times. Proof of identification must be produced when requested by staff. Please liaise with the Oakey RSL Staff before applying anything to the function room for decorative purposes. Confetti or decorative sprinkles/scatters are not permitted inside or outside the room. Please discuss with staff as a cleaning fee will be applied. Prior permission must be sought from the Oakey RSL Club (at the time of your booking) if you wish to engage in the services of any outside, decorations or hire contractors.
